Financial Agreement

Program Fee Policy:

1. Effective Tuesday, January 1, 2019, the collection of childcare fees will continue via Electronic Funds Transfer (EFT) on a monthly basis from one payment source. Payments will be processed on the first business day of each month (in the event of a statutory holiday, the following business day). The NEW fee collections are as follows:

* Note that September fees will not be pro-rated for start dates after Labour Day and full month fees will be charged. If enrolling for the school year, care will begin the first Tuesday following Labour Day. August fees cover any September dates prior to Labour Day, even if child is moving up an age group.
*A child is considered “School Age” for September of the year they commence Grade 1.

There are no additional charges for FDK / School Age TDSB PD days or holiday weeks such as Christmas and March Break.

**In the event of an unanticipated school closure (i.e. teacher strike action) for which AAASI is able to offer care, an additional fee of $40.00 per day for full day kindergarten children and $30.00 per day for school aged children that require care at AAASI during regular school hours on these days will be charged. This fee will be withdrawn the first business day of the month following the school closure. (In the event of a statutory holiday, the following business day).

All fees will be paid by Electronic Fund Transfer (EFT). Cash is not accepted. Monthly fees are subject to change – notification of fee increases will be under separate cover.

2. There is a non-refundable registration fee of $50.00/child payable by EFT at the time of first enrollment. At the time of first enrollment, the first month’s fees will also be due (payable by EFT) and are non-refundable if 30 days’ notice is not given for withdrawal. For example, if registering in June 2019 for a September 3rd, 2019 start date, notice of withdrawal must be given by August 4th (30 days prior to the September 3rd start date) for the first month’s fee to be refunded.

3. Toddler Program Enrollment:
Enrollment in the Toddler program is for the period from January to December of the 2019
calendar year. Children who are preschool age will be moved to the preschool room on September 3rd and the fee will be reduced to the preschool rate, starting September 2nd. The full preschool monthly fee will be charged from September 2nd-30th and toddler August fees cover any days prior to Labour Day.

4. Preschool Program Enrollment:
Enrollment in the Preschool program is for the period from January to December of the 2019 calendar year with the exception of those children in the Preschool program commencing JK classes at the school in September 2019. Children in the Preschool classes, who will be commencing JK classes at the school in September 2019, will then be subject to the Full Day Kindergarten monthly rate starting in September. The full day kindergarten monthly fee will be charged from September 2nd-30th and preschool August fees cover any days prior to Labour Day.

5. Full Day Kindergarten (FDK) Program Enrollment:
Enrollment in the FDK program is for the period from January to December of the 2019 calendar year. The summer program is mandatory for FDK children. Children in the Senior Kindergarten class, who will be commencing Grade 1 at the school in September 2019, will then be subject to the School Age monthly rate starting in September. The full School Age monthly fee will be charged from September 2nd-30th and FDK August fees cover any days prior to Labour Day.

6. School Age Program Enrollment:
Enrollment in the School Age program (grades 1-5) is from January to June and September to December of each calendar year. Please note that once a child is admitted to the school age program, there is NO guarantee that the child will have a spot upon entering his/her Grade 4/5 year. This occurs as a result of the movement within the centre.

If your School Age child/ren will not be attending AAASI full time during the summer (i.e., will be away from the centre entirely or for a portion of the summer) but they will be attending the daycare in September, a non-refundable retainer fee of $217.50 will be withdrawn from your account via EFT on Monday May 13, 2019. This is in addition to the monthly fee paid on May 1, 2019. This fee is solely for holding a space in the program for September and will not be refunded under any circumstance, even if
notice is given that the child will not be returning to the program. However, if there is not enough space for the child upon entering Grade 4/5, the holding fee will be returned.

7. School Age Summer Program:
School Age children have an optional summer program and enrolled on a weekly basis. The weekly fee for School Age summer enrollment for the summer of 2019 is $217.50. Confirmation of enrollment for the summer program is due by Friday April 26, 2019. Corresponding fees will be paid by EFT. The

first payment for summer attendance will occur on Tuesday, July 2, 2019 and will cover the five weeks up to Friday, August 3 2019. The maximum amount based on full attendance would be $217.50/week x 5 weeks = $1,087.50. The second payment for summer attendance will occur on Tuesday August 6, 2019 and will cover the four weeks up to Friday August 31, 2019. The maximum amount based on full attendance would be $217.50/week x 4 weeks = $870.00. Enrollment in the summer optional program will be on a first come first serve basis and will be conditional on meeting the Ministry of Education ratio guidelines (1 instructor to 15 children). All applications must be submitted directly to the office and will be dated and placed in sequence. Parents will have the option of applying to be on the waitlist based on the date their application is received.

School Age Children Summer Program is based on weekly enrollment. Summer program is between July 2 and August 31, 2019. Weekly enrollment is as follows:

July 29-August 2
August 5-9
August 12-16
August 19-23
August 26-30

8. All transactions are processed the start of day, the first business day of the month. In instances, whereby non-EFT payments (certified cheques, bank drafts, money orders) are received after 12:00 pm noon on the first business day of the month, a $15 late fee will apply due to administration costs incurred by the centre. This fee will be processed the following Monday (or Tuesday if Monday is a statutory holiday).
The centre will not defer any EFT transfers.

9. Each payment not received on the aforementioned due dates will be subject to a $30 service charge (including returned payments i.e. Insufficient Funds NSF). This fee will be processed the following Monday (or Tuesday if Monday is a statutory holiday). AAASI retains the right to pursue collections where fees are due but have not been paid.

10. Following the receipt of two NSF transactions, all fees due for the remainder of the existing financial agreement must be paid by certified cheque, bank draft or money order. The pre-authorized debit agreement to support EFT will be cancelled.

11. Alderwood Action Afterschool is closed on the following statutory holidays:
New Year’s Day / Family Day / Good Friday / Victoria Day / Canada Day / Civic Holiday / Labour Day / Thanksgiving Day / Christmas Day / Boxing Day. There is no reduction in fees due to the closure of the centre on the above-mentioned holidays.

12. There will be no reduction or rebate of fees for days/weeks or portions thereof during which your child/ren is absent from the child care centre, for any reason. There is also no reduction in fees should the centre be required to close due to weather, power outage, emergency, or any other unavoidable circumstance.

13. If you do not consent to your child/children’s participation in a field trip, you will be responsible for his/her/their care on the day of the trip. There will be no reduction in your monthly fee should this occur.

14. Nutrition is provided to the children as follows:
i) Toddler and Preschool children receive a hot, catered lunch and a morning and afternoon snack. AM snack is finished by 8:30am in order for staff to clean and prepare for the morning program.
ii) Kindergarten and School Age children receive a before and after-school snack. AM snack is finished by 8:30am. Kindergarten and School Age children are required to bring a bagged, nutritious nut free lunch when applicable (PD Days, Winter Holidays, March Break, and Summer Vacation).

Note: Snack servings are 1/3 of an adult serving. The daycare serves a morning snack, not breakfast.

15. Alderwood Action Afterschool Inc. charges late fees to all families who have not picked up their child/ren by closing (6:00pm). Late fees are applicable under any and all situations when a child/ren is left at the centre after 6:00pm. The charges are as follows:

5 minutes late $ 25.00
10 minutes late $ 50.00
15 minutes late $ 75.00
20 minutes late $100.00
30 minutes late $150.00

16. Staff members will record the time when the child is picked up beyond 6pm and will require the parent/guardian to initial an acknowledgement of pickup. The charge for the late pick up will then be applied to the following monthly EFT transaction. If you are going to be delayed, please ensure you have someone available to get your child/ren to avoid a late fee. It is the parent’s / guardian’s responsibility to ensure children are picked up by 6:00pm.

**Please note: As per the Child Care Early Years Act (CCEYA), if you have not picked your child up by 7:00pm, we are required to call the Children’s Aid Society (CAS).

17. A ONE MONTH (30 days) written notice by the undersigned is required prior to the withdrawal of a child from Alderwood Action Afterschool. Future re-enrollment will result in the application of the $50.00 non-refundable registration fee and first month’s fees at time of registration.

18. You understand that you may be asked to participate in fundraising activities on behalf of AAASI.

19. You hereby confirm and represent that you have legal custody of the child/ren and that you are authorized to place the child/ren in the care of Alderwood Action Afterschool Inc. You further confirm that you are authorized to sign this form. You understand that a copy of any legal custody forms must be kept on file at Alderwood Action Afterschool Inc.

20. You understand that a copy of your child’s/ren’s immunization record recognized by the Toronto Public Health Department must be supplied to Alderwood Action Afterschool Inc. prior to enrollment.

A notarized affidavit completed on the Ministry of Education form must be submitted to the centre in order to legally exempt your child from the immunization requirement.

21. Failure to comply with any of the aforementioned guidelines may result in termination of or withdrawal from these services.

22. By signing this document or attending the program with your child/ren during the dates covered within this agreement constitutes that you agree with the terms and conditions as noted above.
